Los Campos FC Membership Terms and Conditions
1. Membership Eligibility
1.1 Membership is open to all youth aged 6 to 17, subject to club approval following attendance at a full training session and assessment by the coaching staff.
1.2 The club also runs an early years development squad that is open to children from the age of 5 where they will need to trial and their development will be fully observed to consider whether they can become members.
1.3 The club reserves the right to refuse or terminate membership where reasonable grounds exist, including but not limited to behavior detrimental to the club’s values.
2. Membership Fees and Payment
2.1 Membership fees are as outlined on the club’s official registration form and website and must be paid via direct debit as set up through Go Cardless (or other approved methods in exceptional circumstances). There are fees for Full Members, Half Members, Sibling Discounts and Concessionary Rates for those on means tested benefits.
2.2 Full membership fees cover training sessions, league matches, equipment use, insurance, and other club activities for the full football season and a kit every two years subject to the Kit Policy in clause 8.
2.3 Fees are non-refundable except in exceptional circumstances as decided by the club committee.
2.4 The club offers sibling and concessionary rates as communicated. Any special financial arrangements must be agreed with the club treasurer in advance.
2.5 Once a Direct Debit payment arrangement is started for membership fees, it is the sole responsibility of the parent or payer to cancel this Direct Debit immediately upon the player leaving the club. The club is not responsible for stopping Direct Debit payments on behalf of members. No refunds or credits will be given for payments collected after a player has left if the payer has not cancelled the Direct Debit.
2.6 Membership fees are based on a 12-month attendance period and are payable in full throughout every month of the year, even though no football activities are offered duringthe month of August. This payment schedule is designed to amortize the club’s costs evenly over the entire season and to reduce administrative overheads, ensuring smoother financial management for the club.
3. Member Code of Conduct
3.1 All members, parents, and guardians must adhere to the club’s code of conduct respecting fairness, respect, and sportsmanship.
3.2 Abuse, bullying, discrimination, or any form of harassment will not be tolerated and may lead to disciplinary action for that person, including termination of membership.
4. Health and Safety
4.1 Members must disclose any relevant medical conditions or allergies at registration and update the club of any changes in writing.
4.2 The club is committed to providing a safe environment but accepts no liability for injury or loss sustained during club activities except where due to the club’s negligence.
4.3 Emergency medical treatment consent is assumed in cases where parents/guardians cannot be contacted promptly.
5. Data Protection and Privacy
5.1 The club collects and processes personal data solely for club administration, communication, and safeguarding purposes in compliance with GDPR.
5.2 Personal data will not be shared with third parties except where required by law or necessary for club activities, such as league registration or insurance.
5.3 Members have the right to access, correct, or request deletion of their personal data by contacting the club’s Treasurer.
6. Photography and Media
6.1 The club may take photographs or videos of members during training and matches for promotional and coaching purposes.
6.2 Members and guardians may opt out of media participation by notifying the club in writing at registration.
7. Club Equipment and Facilities
7.1 Members are responsible for the care and return of any club equipment issued.
7.2 Any damage caused by negligence or misuse may result in a charge to the member.
8. Kit Policy
8.1 In accordance with the club’s kit policy introduced in 2022, Los Campos FC purchases new kits for the entire club only once every two years. The next official kit purchase window for the whole club will be from 1 June 2026 to 30 September 2026.
8.2 Registrations made outside of the period in clause 8.1 will require parents and carers to purchase kits independently via the Macron website here. Additionally, all new players joining the U10s and U11s teams should ensure their kits include the Fourteen Technology Sponsorship logo as part of their order.
9. Termination of Membership
9.1 Membership may be terminated by the club for breach of these terms or failure to pay fees.
9.2 Members may resign by providing written notice to the club, but fees paid are generally non-refundable.
10. Liability and Disclaimers
10.1 The club and its officials shall not be liable for any loss, damage, or injury sustained except where caused by proven negligence.
10.2 Participation is entirely at the member’s own risk.
11. Amendments
11.1 The club reserves the right to amend these terms and conditions, with notice given to members.
12. Precedence of Terms
12.1 These Terms and Conditions supersede and take precedence over any previous terms and conditions, agreements, or arrangements between the member and Los Campos FC.
13. Acceptance of Terms
13.1 By completing and submitting the registration form, you confirm that you have read, understood, and accepted these Terms and Conditions in full on behalf of the player and their family.
